OBJECTIVES FOR THE BILINGUAL PARALEGAL POSITION
The Bridge City Law Receptionist provides essential administrative and clerical support for the efficient and organized flow and functioning of the office. Our Receptionist is often the first person that guests interact with at our firm. The candidate filling this position is important to the image of the firm and being friendly, professional, and articulate and essential. The Bridge City Law Receptionist is responsible for creating a welcoming atmosphere by greeting visitors, directing visitor traffic throughout the day, answering phone calls, and serving as an information center for visitors and Bridge City Law team members. The Receptionist reports to the Office Administrator, and from time-to-time, they will be given tasks to complete by the attorneys and paralegals in the office.
SPECIFIC JOB DUTIES AND RESPONSIBILITIES
- Greet guests with a positive, helpful attitude and offer beverages as soon as they arrive at the office
- Notify the appropriate person when they have a guest
- Ensure the reception area, conference room, copy room, and kitchen are clean, tidy, and presentable at all times
- Prepare conference room for and clean up after events
- Answer, screen, and forward incoming phone calls
- Forward voicemail messages in our general mailbox to the appropriate people
- Sort, scan, and deliver incoming faxes, mail, and deliveries
- Take outgoing mail down to the mailbox daily
- Obtain intake information from prospective clients
- Track intakes, attorney no-rep letters, and referrals
- Assist paralegals and attorneys with various clerical tasks and opening new client files
- This position is full-time, Monday through Friday, 8:00 AM – 5:00 PM, working on site at Bridge City Law’s downtown Portland offices
REQUIREMENTS
- Bilingual Spanish
- Receptionist experience and familiarity with multi-line telephone systems
- Previous administrative or clerical experience (1-2 years)
- Experience using computer systems
- Proficiency in Microsoft Office, Google Workspace (Google Docs and Google Sheets) and Adobe Pro
- Strong communication and customer service skills
- Excellent organizational skills
COMPENSATION PACKAGE
- The position pays $20 – $22/hour, based on the candidate’s experience and skills.
- Additionally, this position offers a $1,250 quarterly performance bonus — based on meeting outlined growth goals for each quarter.
